Use this as a short working brief. Estimates become more useful when the problem, constraints, decision makers, and ownership are clear.

Describe the situation

  • Give one concrete example of what is difficult today.
  • Explain who is affected and how often the issue occurs.
  • State what a better outcome would look like.
  • Separate required outcomes from preferred features.

Share what is already in place

  • List platforms, accounts, data, and processes involved.
  • Note what is working well and should be preserved.
  • Identify integrations, vendors, and technical dependencies.
  • Confirm who controls the domain, content, and business accounts.

Set constraints and decisions

  • Share a comfortable budget range and important dates.
  • Identify decision makers and people who will use the result.
  • List accessibility, privacy, security, or compliance requirements.
  • Note what cannot change and where there is room to adjust.

Agree on delivery and handoff

  • Clarify deliverables, exclusions, review rounds, and acceptance criteria.
  • Confirm who owns source files, accounts, data, and recurring costs.
  • Agree on launch, support, maintenance, and change request expectations.
  • Get the scope, price, and assumptions in writing before work begins.

Every business and project is different. Treat this as general planning guidance, then confirm platform-specific, legal, tax, and security requirements with the appropriate provider or qualified professional.
